Job Description

A. JOB SUMMARY
To train, assess, and mentor students pursuing courses in Records Management and Archiving by delivering practical, competency-based training that meets industry standards and examination board requirements for effective document and information lifecycle management.
B. DUTIES AND RESPONSIBILITIES
• Prepare lesson plans, schemes of work, and training materials for records management and archiving modules.
• Deliver theoretical and practical instruction in records creation, classification, filing systems, electronic document management, and archival preservation techniques.
• Train students on records retention schedules, disposal procedures, and the use of modern records management software.
• Conduct continuous assessment tests, practical demonstrations, and competency-based evaluations for students.
• Maintain and supervise the use of training equipment and resources in the records management lab or simulated office environment.
• Prepare students for examinations set by the relevant examining body (e.g., KNEC, CDACC).
• Guide students on legal and ethical issues related to data protection, confidentiality, and access to information.
• Participate in curriculum development, review, and quality assurance activities.
C. REQUIREMENTS FOR APPOINTMENT
A Diploma or Higher National Diploma in Records Management, Archives Management, Information Science, or a related field from a recognized institution.
Professional certification in records management (e.g., from the Kenya Association of Records Managers and Archivists – KARMA) will be an added advantage.
At least three (3) years of relevant work experience in a records department, registry, or archives setting.
A TVET Trainers Methodology Certificate (from CDACC or equivalent) is mandatory. Candidates without it must commit to undertaking the training within the first year of employment.
Previous teaching or training experience in a TVET institution will be a distinct advantage.
Proficiency in electronic document management systems (EDMS) and standard computer applications.
